Nobody notices automation until it is missing

Managing a client's domain and email hosting means you own more than the setup. You own every renewal date attached to it.

Miss one and the client does not lose something small. They lose their website and their inbox on the same morning, usually without warning, and usually at the worst possible time.

We manage the domain and email for one of our clients. So that risk is ours, not theirs.

Relying on memory is not a system

For a while the plan was that we would just remember. That is not a plan, it is a hope. Renewal dates sit twelve months apart, which is exactly long enough to forget one, and registrars are not reliably loud about it. Some send a single email to an address nobody checks any more. Some send nothing useful at all.

We had also already seen what that failure looks like from the other side. When that client first came to us, their domain had already expired under a previous agency, and nobody had told them it was going to.

What we built

A small automation that tracks renewal dates and sends reminders at 30 days and at 15 days before anything is due. It goes to us and to the client, not only to us.

The client copy matters more than it looks. It means they are never dependent on our memory or our availability, and it means a renewal is never a surprise conversation. It is just a date they already knew about.

The part we have come to like

Nobody is ever going to compliment this system. When it works, nothing happens. There is no moment where anyone notices that a domain did not expire.

That is true of most backend work. Good automation does not get praised, it quietly removes a whole category of problem from your week and then stays invisible.

We have come to enjoy that part of this work more than the visible parts. Building the thing that prevents the phone call is more satisfying than handling the phone call well.
